The Mid-Hudson Regional Information Center is seeking two (2) Student Services Specialists with strong customer relations, organizational, and verbal skills to train and support school districts with scheduling, grades, and attendance using web-based student information systems. The successful candidate must be comfortable using and/or learning a variety of applications. Technical training in large and small groups and experience with student information systems are a plus. This position provides student information system training and support to district staff virtually, in-person and via phone. The ability to interface with different departments within the Regional Information Center is essential. A bachelor's degree is preferred.

Salary commensurate with experience and training. Salary range: $51,879 - $59,289.

GENERAL RESPONSIBILITIES:
This position involves the responsibility of assisting component school district administrators and support personnel with the efficient management of student data services. The work involves the responsibility of providing assistance with the coordination and delivery of the specialized application of student services in the school districts. Incumbents are responsible for assisting in providing support services in the reporting of student registrations, attendance, grade reporting, scheduling, discipline and medical records. This position normally resides within the Student Services Department within the Mid-Hudson Regional Information Center (MHRIC). This position differs from the Student Services Specialist II by virtue of not having the responsibility of project management duties. The work is normally performed under the general supervision of the Student Services Manager, with leeway allowed for exercising independent judgement in carrying out details of the work. Supervision is not a function of this class. Does related work as required.

This is a full time, 12 month position.

Incumbents in this title may perform some or all of the following, as well as other related activities not described.
  • Trains school district administrators and support personnel, one-on-one or in groups, in the use of computerized student services applications;
  • Serves as liaison to component school districts for student management services by assisting in setting parameters for the set-up, configuration and maintenance of student services software applications;
  • Prepares data for conversion and migration to import files to school district databases;
  • Provides telephone support to school district personnel, including instruction on entering data,
  • generating reports, troubleshooting and diagnosing applications problems;
  • Consults with school district personnel on the on-going development, maintenance and effectiveness of applications;
  • Develops training programs by working with districts in determining their long-term objectives and goals within a regulated environment;
  • Generates periodic NYS Education Department (SED) reports for the client districts;
  • Prepares materials for meetings and training sessions that support application requirements;
  • Works with Regional Information Center staff to improve current services and recommend system modifications or revisions;
  • May make presentations at user meetings to discover and share common problems and solutions;
  • May train Regional Information Center personnel on student services applications.

The work involves the responsibility of managing all aspects of purchasing and related record keeping for purchasing for a division of Ulster BOCES. An employee in this class keeps informed on NYS and Federal purchasing laws and is responsible for the purchasing process and keeping the district informed. The work is performed under the general supervision of a higher-level employee with leeway allowed for the use of independent judgment in carrying out the details of the work. Supervision is not normally a function
of this class. Does related work as required.

  1. Works with Supervisor or designee on establishing "best buy" options and provides districts with the information in a timely manner;

  2. Maintains ongoing communication with vendors regarding knowledge of changes in equipment, systems and software;

  3. Performs all aspects of the purchasing process and renewals as well as asset management facilitation;

  4. May assist with facilitating financing options for federal and state technology funding;

  5. Tracks status of purchase orders and keeps district contact informed of status;

  6. Coordinates delivery to the district which includes verifying that the complete order is received in operational condition and follows up on returns or missing/broken parts;

  7. Maintains an inventory of all equipment/software purchased; makes district aware of the maintenance status of equipment and software renewals on an annual basis and facilitates renewal as requested by the district(s);

  8. Provides information as requested to assist districts in planning for upgrades, replacements, and expansion of new projects;

  9. Keeps supervisor informed of any problem(s) and suggests a course of action;

  10. Works with various staff and specialists to ensure that each project proposal is complete;

  11. Works closely with various staff in the division and the Business Office as needed to complete each project;

  12. Works as an integral member of the team to deliver and improve quality of service and ensure effective, seamless communication with all districts.
